This policy explains how R P A SOLUTIONS (PVT) LTD ("RPA Solutions", "we", "us") collects, uses and protects personal information. It covers our website rpasolutions.net and the tools we use to communicate with our clients, including our WhatsApp client inbox.
Information we collect
- Contact details you give us, such as your name, business name, email address and phone number.
- WhatsApp messages you send to our business WhatsApp numbers, including text, photos, documents, voice notes and the time they were sent, together with your WhatsApp profile name and phone number.
- Project information you share with us so we can deliver our services, such as files, briefs and feedback.
- Basic technical data when you visit our website, such as browser type and pages visited.
How we use it
- To reply to your messages and provide the services you asked for.
- To let the team members working on your account see your messages, so your questions are answered quickly.
- To keep a record of our communication with you for quality and follow up.
- To send you service updates. We only send marketing messages if you have agreed to receive them, and you can stop them at any time.
We do not sell your personal information, and we do not use your WhatsApp messages for advertising.
WhatsApp Business Platform
We use the WhatsApp Business Platform provided by Meta Platforms, Inc. to send and receive WhatsApp messages. Messages pass through Meta's systems under the WhatsApp Business Terms and WhatsApp Privacy Policy. Inside RPA Solutions, messages are stored in our own client inbox system, which only authorised staff can access with their own login.
Who can see your information
- Our staff members assigned to your account, and our management.
- Service providers that help us run our business, such as hosting and communication providers, only as needed to provide their service.
- Authorities, if the law requires it.
How long we keep it
We keep messages and project information for as long as you are our client and for up to two years after our work together ends, unless the law requires a longer period or you ask us to delete it sooner.
How we protect it
Access to our client inbox is limited to named staff accounts with passwords. Staff accounts are removed when someone leaves the company. We use encrypted connections (HTTPS) between Meta and our systems.
Your choices and rights
You can ask us to show you the information we hold about you, correct it, or delete it. You can also ask us to stop messaging you at any time by replying STOP on WhatsApp.
Deleting your data
To have your WhatsApp messages and contact details deleted from our systems, send a WhatsApp message saying "Delete my data" to the number you have been talking to, or email us at [email protected]. We will delete your information within 30 days and confirm when it is done.
Children
Our services are for businesses and adults. We do not knowingly collect information from children under 18.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
